Mailing Bureau

The Mailing Bureau provides bulk mail service for the University. With this service, mailings (letters or postcards) can be sent to either campus or off-campus locations. Bulk mail service is available for mailings of over 200 pieces. For questions about bulk mail, call 581-6171.

The Mailing Bureau has a number of services available for bulk mail. These include:

  • Envelope addressing (You may provide an address list, or use a list kept by the Mailing Bureau for on-campus addresses. Go here for U.S. Mail addressing standards.)
  • Postage metering
  • Envelope inserting

A University address cannot be used to receive personal mail for faculty, staff, or students.

Why?

The U.S. Postal Service will not accept a change of address form from a University address. In other words, if mail is sent to a University address, it will not be forwarded to another address by the Postal Service. Additionally, having the Mailing Bureau deliver personal mail would be a misuse of state funds. Delivering personal mail would be rendering to individuals (at University expense) a service that the U.S. Postal Service already provides for free.

U.S. Mail Services
  Express Mail - Express mail guarantees overnight or 2-day delivery with weekend and holiday delivery, and includes tracking, proof of delivery, and insurance up to $100. Packages have a 70 pound maximum weight.The Mailing Bureau recommends using Fedex instead of Express Mail.
  First-Class Mail - First-class mail is used for letters or documents up to 13 ounces. First-class mail may contain personalized or advertising material.The following must be sent via First-Class mail:
Handwritten matter
Personalized correspondence
Bills or statements of account.
  Priority Mail - Priority mail is used for packages between 13 ounces and 70 pounds. Priority mail provides the same level of service as First-Class mail -one is not any faster or slower than the other.
  Media Mail - This was formerly called Book Rate, and is limited to books, manuscripts, video and audio recordings, and non-blank computer-readable media (disks). Media Mail cannot contain personal or advertising material: if it does, it must be sent first class.
  Library Mail -This includes most of the same materials as Media Mail, but has to be sent to and from a school, university, library, or museum. Library mail may also include museum materials, but cannot contain personal or advertising material.
  Certified Mail -An extra service available with first-class and Priority mail that provides proof of mailing and requires a signature when the mail is delivered.

Campus Mail

 

The Mailing Bureau provides mail delivery service for on-campus locations and certain locations in Research Park. Mail is also carried to and from the hospital twice a day.

Most days, mail deliveries and pick-ups will take place between 8:00 AM and 12:00 PM. Deliveries may be delayed by high mail volume, and are later on payday (the 7th and 22nd of each month).

While the U.S. Postal Service provides delivery service to many university departments, they also deliver a substantial amount of mail to the Mailing Bureau for delivery to campus locations. This mail is sorted and delivered with mail originating from on campus.

Campus mail is to be used for University business only and does not include students.

Addresses

In order to facilitate fast and accurate service, a campus address should have three elements:

  • The recipient's name
  • The recipient's department
  • The address (street address and/or building) being sent to

Letters and packages missing any of this information may be delayed or returned. Illegible addresses may also lead to errors or delays in mail delivery.

Additionally, letters and packages sent via campus mail should have a return address.

Forwarding and Misdelivered Mail

  • If mail is delivered in error, the letter or package should be promptly returned to the Mailing Bureau for redelivery.
  • If the mail is addressed to someone no longer with the department, specify on the mailpiece itself the correct address, if known. Otherwise, note not at address. Campus mail cannot be forwarded to an off-campus address, and will be returned to the sending department.
  • If there is a recurring misdelivery problem, call 1-6721.

Shipping Services FedEx/UPS

 

The University of Utah Print & Mail Services (UPMS) provides FedEx and UPS services to campus at rates up to 65% below retail rates.


SendSuite Desktop – RATE SHOP = SAVE MONEY $!


UPMS supports an application called SendSuite Desktop which allows users to:

  • create ship requests from their computer
  • rate shop between FedEX and UPS
  • track packages
  • maintain a package history
  • create address books
  • and more. …

Make life easier and start saving - request a user profile to begin using SendSuite Desktop.  Simply send an email to jane.bushnell@utah.edu with the following information and reference SendSuite:

  • first, last name
  • department name
  • mailing address
  • phone
  • fax
  • any and all chartfield used to bill FedEx / UPS

Shipping Supplies
FedEx and UPS envelopes, boxes, and paks, are available from University Print & Mail Services at no charge, and can be delivered to departments via campus mail.  To order supplies or for any questions about FedEx and UPS through the University, call 1-6171 and ask for Suzann Hansen. 


Inbound Packages
University Print & Mail Services does NOT receive or deliver FedEx and UPS packages.  For assistance with inbound FedEx packages, contact  FedEX at 1-800-GoFedEX (1-800-463-3339) or FedEx.com.  For assistance with inbound UPS packages, contact UPS at 1-800-pickUPS (1-800-742-5877) or UPS.com.


Tips for sending FedEx and UPS packages:

  • Remember to include a full address for the recipient, including the zip code.  The recipient’s phone number is also required.
  • Packages cannot be shipped to PO boxes – only a street address.
  • If you are billing the recipient, you must include their FedEx or UPS account number.
  • Documents sent internationally will require customs forms.  This is especially important with international packages containing dry ice.
  • Styrofoam containers can only be shipped if they are inside a box.
  • All packages containing dry ice or dangerous materials must be marked accordingly.
  • Packages may NOT be taped together; each package must be labeled separately.

University Print & Mail Services FedEx and UPS Pickups:

  • Packages are picked up in the morning from all campus mail stops by the mail carriers.  Carriers also pickup packages from designated stops in the afternoon.
  • Packages can also be dropped off at room 135 in the University Services Building (VRTUSB) between 8:00 am and 5:15 pm.
  • If you are unable to drop your package off at a designated location, please contact University Print & Mail Services before 2:00 if you have a package to be picked up – otherwise, leave the package at a CAMPUS FedEx/UPS box, or bring it to Print & Mail Services (135 VRTUSB) before 5:15 pm.

U.S. Mail Addressing Standards

All mail sent to a University of Utah address must be in the following format:
  NAME
UNIVERSITY OF UTAH
DEPARTMENT
STREET ADDRESS (with room number)
CITY STATE ZIP (2 spaces between state and zip)

All elements of the address must be in capital letters. Typed addresses should use a simple sans serif font with block letters - no bold, italic, or script. There is no punctuation for abbreviations.

The following is an example of a correct address:

  JOHN DOE
UNIVERSITY OF UTAH
CENTRAL MAILING FACILITY
1795 E SOUTH CAMPUS DR RM 113
SALT LAKE CITY UT 84112

All U.S. Mail sent from the University must have a University of Utah return address.
